WEDDING CONTRACT TERMS & CONDITIONS

All bookings in respect of wedding receptions at Newcastle Racecourse, hereinafter called the ‘Company’, are accepted by the above named, hereinafter called the ‘Customer’ upon the following terms and conditions.
- CONFIRMATION-All bookings are considered provisional until a confirmation letter has been received. Confirmation is required 14 days after making a provisional booking of space. If the required confirmation letter is not received within the designated time, Newcastle Racecourse reserves the right to release the booking and re-let the facilities. This contract should be signed and returned to the Company within 7 days of its receipt.
- CANCELLATIONS-In the unfortunate circumstance of having to cancel your confirmed booking at anytime prior to the event, the Company will make every effort to re-sell the facilities on your behalf. Cancellation charges are as follows:
• Deposits are non refundable
• Between 12 and 4 weeks 50% of the quoted rates
• 4 weeks and under 100% of the quoted rates
- TERMS OF PAYMENT-A formal appointment will be made a minimum of 4 weeks prior to the wedding to discuss all finer points and requirements. After this appointment an estimated invoice (pro forma invoice) will be issued based on the details discussed which is payable in full 3 weeks before the event. On the Wedding Day itself a formal invoice will be raised and issued taking into account deposits and pro forma payments. If there is an outstanding balance we allow a settlement time of 28 days.
- We require confirmation on expected numbers 4 weeks prior to the event. Final numbers are required 1 week before the event and these are the minimum number that will be charged on your account.
- We ask you to pay particular attention to the Wedding/Conference and Banqueting Brochures. The Company understands the nature of your booking and the need to book and secure space well in advance. The company will contract space and charges for room hire at the current rate when the deposit is paid. When your wedding takes place the Customer should note that you will be charged the prevailing rate for food and beverage and/or package prices.
- Only food and beverage purchased from Newcastle Racecourse may be consumed on the premises. If food or beverage is brought into Brandling House for consumption, a charge will be made equal to the selling price for that or an equivalent product that will be at the determination of Newcastle Racecourse. Ethnic catering is permissible by very special arrangement.
- The Customer agrees to pay the Company any charges incurred by the Customer or its guests, for any food, beverage or other services not provided for under this contract unless the Customer, prior to the function, has instructed the Company in writing to obtain cash settlement for such charges direct from the person incurring the charges.
- If any items are to be delivered to the Racecourse before the event, arrangements must be made with the Company and the persons making the delivery. Newcastle Racecourse will make its best endeavours for the safekeeping of such items and can only accept responsibility if a full and thorough investigation of the goods is made at time of delivery. Any equipment or personal effects brought into Brandling House by guests remain at their own risk and Newcastle Racecourse will not be liable in the event of any loss, theft or damage. Cloakrooms are provided for the convenience of customers and guests, any goods deposited in such cloakrooms are at the owner’s risk and without obligation on part of the Company.
- The Customer shall be responsible for any damages caused to Brandling House, or furnishings, utensils or equipment therein by the wilful act or default of the Customer or guests of the Customer and shall pay to the Company on demand the amount required to make good or remedy such damage.
- The lead name/organiser shall be responsible for the orderly conduct of guests and shall ensure they have regard to any regulations imposed by any competent authority and that nothing will be done which will constitute a breach of the law. In particular the Customer shall ensure that there is no illegal gaming or betting.
- Prior written approval must be obtained if you wish to fix items to the walls, floors or ceilings.
- The Company reserves the right to cancel any bookings forthwith and without liability on its part in the event of any damage or destruction of Brandling House by fire or any other cause, any shortages of labour or food supplies, strikes, lock outs or industrial unrest, or any cause beyond the control of the Company which shall prevent it performing its obligations in connection with any booking; In these circumstances reasonable steps will be taken to accommodate the booking in another venue.
- The Company reserves the right to object to the employment of any unsuitable outside agent by the Customer and will without obligation be pleased to give Customers and guests the benefit of their advice or recommendations in this connection.
- The Company accepts no responsibility for equipment used or supplied by the Customer. The Company advises the Customer that if equipment is of sufficient value the Customer should take out suitable insurance. Furthermore we strongly recommend event insurance in respect of cancellation and suggest you contact your preferred broker if you deem this to be prudent.
- Should the Customer make significant changes to the programme or the expected numbers of guests, Newcastle Racecourse reserves the right to amend rates and/or facilities offered.
- The main product of Newcastle Racecourse is that of the provision of Horse Racing, and in the unlikely event that an unscheduled race meeting is offered to Newcastle Racecourse, the Company reserves the right to reschedule or relocate your event. We reserve the right to operate other events, within the house and on other areas of the Estate.
