Newcastle Racecourse Hospitality Booking Terms & Conditions
- The contract is between High Gosforth Park Limited and the Client specified below.
- The person signing on behalf of the Client warrants to High Gosforth Park Limited that he/she has the authority to do so, failing this he/she will be personally liable under this contract.
- Advance payment in full based on confirmed or estimated guest numbers is required for all hospitality bookings.
- In the event of any change to guest numbers, a credit or additional invoice will be issued in acknowledgement (subject to Clause 5 below) less any deposit.
- Any changes in guest numbers or booking details must be confirmed to Newcastle Racecourse in writing by either post, fax or email, at least seven days prior to the race meeting. Any cancellations within this period will be chargeable in full.
- Unless notification of such changes is given to Newcastle Racecourse in accordance with Clause 5 above it will not be acted upon.
- Payment terms are 21 days before the race-day unless the invoice is raised within 21 days of the race-day when immediate payment is required.
- No booking is finally confirmed until the "Confirmation of Hospitality Form" has been signed and returned to Newcastle Racecourse.
- For bookings made more than twelve weeks prior to the race meeting, Newcastle Racecourse will first issue an invoice for the payment of a 10% non-refundable deposit and will then at twelve weeks prior to the race meeting, issue an invoice for the balance which will be due in full.
- Admission badges will not be issued until full payment of any outstanding invoice is received, unless alternative arrangements have been agreed.
- If a race meeting is abandoned prior to the date it was due to be held, the option of a full refund or transfer to another race meeting is applicable, provided that in the case of the option to transfer, suitable facilities are available. If the race meeting is abandoned on the day it is due to be held, any such refund or transfer to an alternative meeting will be agreed between the parties.
- Cancellations made more than twelve weeks prior to the race meeting will result in the forfeit of the non-refundable deposit. Cancellations made within twelve weeks of the race meeting will be liable for the following percentage of the invoice cost.
- 12 weeks to 4 weeks prior to the race-day 25%
- 4 weeks to 2 weeks prior to the race-day 50%
- 1 week prior to the race-day or less 100%
- Newcastle Racecourse cannot accept liability for any injury, loss or damage of whatever kind suffered by you or your guests unless one of the following applies:
- There was a wilful default by Newcastle Racecourse, its employees or agents.
- Death or personal injury was caused by the negligence of Newcastle Racecourse, its employees or agents.
- Newcastle Racecourse does not accept responsibility for any valuables or other property belonging to you or your guests, any such items left unattended are done so entirely at the owner's risk.
